What Does a Data Entry Job Entail?

Data entry job involves inputting data of various types into computer systems. The role may involve simple data entry of alpha or numeric characters, or it may involve transcription of more complex data. Raw data may need to be transferred into spreadsheets or databases from paper format. The type of data will depend upon the company, with data entry jobs available in many sectors, including medical, legal, banking, education, local authorities, sales and marketing.

Data entry is frequently seen as monotonous, and there is a strong element of repetitive work involved. However some roles may be more complex, with customer service or data management responsibilities. Following training and after a period accruing experience the employee could move into a supervisory role or into another field related to data entry.

IT Skills


All roles require an eye for detail and accuracy, as well as fast typing speed. A degree of IT literacy is essential with a basic understanding of databases, spreadsheets and word processors, and some jobs may require a further technical understanding of database packages and management. Specialist software may be used to translate unclear data.

Data Interpretation


Some data may require analytical skills to accurately interpret the data if it is ambiguous, and language skills may be desirable if some data is in a foreign language. In addition, communication and interpersonal skills may be required where the role involves liaising with other employees, whether it is helping them find information or working with them to interpret data.

Administration Skills


Data entry clerks often have additional administrative responsibilities, such as answering telephone calls, dealing with enquiries, filing and photocopying. Demonstrable organisational skills and an ability to work to deadlines are looked on favourably by employers.

Qualifications


Many data entry jobs will require GCSEs in Mathematics and English, or equivalent qualifications. IT qualifications such as the BCS European Computer Driving Licence (ECDL) or the OCR Level 1 Certificate/Diploma for IT Users (New CLAiT) may also be useful. Further qualifications such as NVQs or SVQs may be required or could be offered as part of an employee’s training.

Hours


Most data entry jobs are office based and adhere to regular hours, but there are also opportunities to work from home and for part time and casual work. Some companies may require employees to work shifts or irregular hours.

Data entry clerks spend most of their time in front of a computer typing, so an understanding of health and safety issues and an adherence to correct procedures is important.
